Who we are

GreenTrees LLC, doing business as Green Trees (“Green Trees,” “we,” “us”), provides a headless CRM: a system of record that your AI assistant (such as Claude or ChatGPT) reads and writes on your behalf over the Model Context Protocol (MCP). This policy covers greentrees.ai, app.greentrees.ai, mcp.greentrees.ai, and the service behind them.

What we collect

• Account data — your email address and the display name derived from it, sign-in events, and workspace settings.
• Workspace data — the CRM records you and your AI file: companies, people, deals, notes, activities, sequences, segments, and the receipts that record every change.
• Connected mailbox and calendar data — only if you explicitly connect Gmail or Microsoft 365: message content needed to send as you, detect replies, and log activity; calendar events needed to schedule and brief you. Connecting is optional and gated behind its own disclosure and consent.
• Usage data — tool calls made by your connected AI, timestamps, and error logs, used for security, rate-limiting, and debugging.
• Payment data — handled by our payment processor; we never store card numbers.

What we do with it

We use your data to operate the service you asked for: storing and returning your records, running sequences you approved, detecting replies so outreach stops, delivering approvals and briefings, preventing abuse, and billing. We do not sell your data, rent it, or use it for advertising. We do not train AI models on your data.

AI processing

Green Trees is built to be operated by AI, and some features process your data through AI providers. Two paths exist. First, your own AI seat (Claude, ChatGPT, or another MCP client) reads and writes your workspace under your account with that provider — its handling of your prompts is governed by your agreement with them. Second, with your explicit consent, our own service features (sequences, reply detection, briefings) process relevant workspace, email, and calendar content through our AI providers. We ask for that consent before any mailbox is connected, and you can withdraw it.

Your controls

• Ownership — workspace data is yours. Ask your AI for a full export at any time; it leaves with you.
• Deletion — you can delete your account and workspace; we delete associated data within 30 days, except records we must keep for legal or security reasons.
• Disconnect — revoke any AI connection at app.greentrees.ai/connect; tokens die immediately. Revoke mailbox access from your Google or Microsoft account as well.
• Receipts — every change carries who asked, when, and what changed, so you can always see what the AI did on your behalf.

Retention & security

We keep workspace data while your account is active and as described above after deletion. Data is encrypted in transit (TLS) and at rest by our infrastructure providers. See our Security page for the full posture.

Legal bases & your rights

Where GDPR, UK GDPR, or CCPA/CPRA apply, we process data to perform our contract with you, with your consent (mailbox connections, AI processing), and for our legitimate interests in securing and improving the service. You may have rights to access, correct, export, restrict, or delete your data and to object to processing; write to privacy@greentrees.ai and we will respond within the time the law requires. We do not sell or share personal information as those terms are defined by the CCPA.

Children

The service is for business use and not directed to anyone under 16; we do not knowingly collect their data.

Changes

We will post changes here and, for material changes, notify workspace owners by email before they take effect.
